User Access Guide

Need help managing your election? This guide will walk you through everything you need to know about inviting other users to manage your election.


1. Introduction to Election Users

To help you run your election, you can invite and manage users with any level of control over the election process.

Some of the ways you can interact with users:
  • Invite users to your election.
  • Suspend users' access to your election.
  • Restore user access to your election.
  • Modify a user's role within the election.
  • Grant or Revoke specific permissions to a user.

2. Viewing Election Users

To view user list
  1. Navigate to the Users page (on the right of the navigation bar).
  2. You should now be able to see a list of all users who have access to the election, and their assigned role.

3. User Roles / Permissions

Election users will have one of several roles.

User Roles:
  • Owner: This is the user who created the election. Owners will always have full access to their elections.
  • Admin: Admin users have full permissions in an election.
  • Observer: Observers do not have access to make changes to the election.
  • Custom: Custom users only have view access to start, but can be assigned other permissions as needed.

All users (except Owner)'s permissions may be modified to remove or grant access to various features of an election.

Permissions List

Election Control

  • Election Approval: Whether or not user can complete checklist items.
  • Activate / Deactivate: Whether or not user can control election activation status.
  • Start / Stop: Whether or not user can start election early, finish election early, and pause or resume rounds.
  • Extend Vote: Whether or not user can extend the election's voting window.

Election Data

  • Edit Settings: Whether or not user can modify election title, description, logo and voting window.
  • Modify Ballots: Whether or not user can add, edit and remove ballots and ballot options.
  • Send Voter PIN: Whether or not user can send voter notification emails.

Reports

  • Download Report: Whether or not user can download PDF copy of the election report.
  • Run Audit: Whether or not user can start an election audit.
  • Audit Details: Whether or not user can view detailed audit results.

Users

  • Invite Users: Whether or not user can invite other users to the election.
  • Edit Users: Whether or not user can edit other election user's roles.
  • Suspend Users: Whether or not user can suspend other user's access to the election.
  • Change Access: Whether or not user can change other user's individual permissions.

Voters

  • Modify Voters: Whether or not user can add, edit or delete invidiual voters.
  • Import Voters: Whether or not user can import voters from CSVs.
  • Wipe Voters: Whether or not user can wipe the voter list.

4. Invite a User

To invite a user
  1. Navigate to your Users list.
  2. Click the Invite User button on the right side of the page.
  3. Enter the Name,Email, and Election role of the new user.
  4. Click Invite to send an election invitation to the new user.

5. Modifying a User

To change a user's role
  1. Navigate to your Users list.
  2. Open the Actions menu to the right of a user row in the table.
  3. Select the Edit option.
  4. Select a new Election role for selected user.
  5. Click Edit to change user's election role.
Additional Information

Note: User's role will be updated on their next login.

You can not modify owner role, or your own election role.


6. Suspending User Access

To suspend user access
  1. Navigate to your Users list.
  2. Open the Actions menu to the right of a user row in the table.
  3. Select the Suspend option.
  4. Click Suspend to remove user's access to the election.
Additional Information

Note: User's access level will be updated on their next login.

You can not modify owner access, or your own election access.


7. Restoring User Access

To restore user access
  1. Navigate to your Users list.
  2. Open the Actions menu to the right of a user row in the table.
  3. Select the Re-activate option.
  4. Click Activate to restore user's access to the election.
Additional Information

Note: User's access level will be updated on their next login.

You can not modify owner access, or your own election access.


8. Setting User Permissions

To change user's permission
  1. Navigate to your Users list.
  2. Open the Actions menu to the right of a user row in the table.
  3. Select the Permissions option.
  4. Select the desired permissions for the user.
  5. Click Update to modify user's permissions.
Additional Information

Note: User's permission level will be updated on their next login.

You can not modify owner permission, or your own election permission.
